Processing of personal information

In general

Personal information is any kind of information, which may be attributed to you to some extent. When you use our homepage or some of its functions/information to contact us, we shall process a certain amount of personal information about you. For example, this will happen during ordinary accessing of contents, if you sign up for our newsletter, participate in competitions or surveys, register as user or subscriber, or make purchases through our homepage.

We have a data responsibility for the processing of your personal information as further described below.

Typically, we collect and process the following type of information in connection with your use of our homepage: A unique ID and technical information of your computer, tablet or mobile phone, your IP-Number, geographic location, as well as information of the pages you click on (areas of interest).

The above information is registered to enable us to offer a secure, stable, and user-friendly customer experience on our homepage and furthermore keep statistics on our visitors, and – in certain cases – target marketing based on the behaviour of the user on our homepage. The legal basis for this procedure is the cookie announcement, § 3, cf. the Data Protection Regulation, article 6, paragraph 1, letter f (for necessary functionality cookies), as we pursue our legitimate interest in being able to maintain functionality and security for the homepage, as well as the cookie announcement, § 4, cf. the Data Protection Regulation, article 6, paragraph 1, letter a (for other cookies). When you sign up for our newsletter, register as a user or subscriber, and/or participate in our competitions or surveys

To the extent that you sign up for our newsletter in our customer portal, register as a user or subscriber, and/or participate in our competitions or surveys on behalf of your company on our homepage, your registration will contain personal information such as name, address, job title, company connection, phone number, and e-mail address. The purpose of processing is to be able to send you our newsletter, grant the relevant services for users and subscribers, and make it possible for your company to participate in our competitions.

The legal basis of the processing in connection with our newsletter will be the consent you give when signing up for our newsletter when registrering as a user in our customer portal, cf. the Marketing Act, §10. You may withdraw your consent at any time. This may for example be done by contacting us via our contact information found in the paragraph ”Contact information” below.

The legal basis for processing once you register as a user or subscriber and register your company as participant in one of our competitions or surveys will be the Data Protection Regulation, article 6, paragraph 1, letter f, as we pursue our legitimate interest in being able to handle and administer such registrations as well as carry out sales promoting activities and commercial surveys.

Registration for eflow’s Solution Partner course

We shall process your personal information, such as contact information, i.e. your name and e-mail address, as well as company connection, when you sign up for courses and/or training programmes after your company has become a Solution Partner.

The legal basis will be the pursuit of our legitimate interest in being able to supply the service of our courses and communicate with you in this connection, cf. article 6, letter f of the Data Protection Regulation.

Purchase of eflow’s products and other use of our services and support

We process your personal information, among this your contact information (name, address, etc.), when, as representative for your employer, you buy our products or make use of other services on our homepage. The purpose of this is to be able to handle orders and provide the services that you have requested on our homepage on behalf of your company, as well as to be in a position to offer the necessary support in relation to this.

The legal basis for this processing is the Data Protection Regulation, article 6, letter f, as we pursue our legitimate interest in being able to fulfil the agreement we have made with the company, which you represent, and furthermore provide a relevant customer service and support.

Security

We have taken technical and organizational measures against your information being accidentally or illegally deleted, published, lost, deteriorated or coming to the knowledge of unauthorized persons, misused, or otherwise being treated in contrary to the law. Retention period

The information will be kept for the period of time permitted by law and will be deleted as soon as it is no longer necessary for the above purposes. Below, please find an overview of the general deadlines for deletion we normally observe. In some cases it may, however, be necessary to keep your information beyond the periods of time stated below (e.g. if the information should be necessary with a view to documentation in a specific matter etc.)

When it appears that the information is being deleted, there may instead be an anonymisation of the information so that it can no longer be used to identify you.

When you sign up for our newsletter, register as a user or subscriber and/or participate in competition or surveys

The information related to newsletters will be deleted 2 years after sending out the last newsletter unless you have withdrawn your consent at an earlier time.

Information related to your subscription will be deleted no later than 5 years after the end of the fiscal year, in which your subscription expired or was cancelled.

The information about your participation in competitions and/or surveys etc. will be deleted no later than 1 year after the end of the fiscal year, in which the competition or survey was finalized.

Registration for eflow’s Solution Partner course

The information will be deleted no later than 5 years after the end of the fiscal year, in which the course ended.

Purchase of eflow’s products and further use of our services and support

The information will be deleted no later than 5 years after the end of the fiscal year, in which the customer relation was terminated, or after the last contact was made.

Who will receive your personal information?

The information collected via use of cookies may be passed on to the third parties mentioned in the above paragraph of ”Cookies” (to the extent that you have agreed to placing of cookies).

We shall pass on your contact information to our business partners (e.g. subsuppliers) to the extent that these will be supplying all or part of the products and services we have been requested to deliver to you or to the company represented by you.

If your personal information is part of our accounting records or of documentation linked to a specific case, we may pass on this information to the relevant public authorities (Tax authorities etc.), as well as to our external advisors.

We may furthermore pass on your personal information to our data processors, e.g. our external system providers etc.

We solely use data processors in the EU or in countries that will provide adequate protection for your information.

Transfer of your personal information to third countries

Your personal information may from time to time be transferred to our data processors in the USA. Such transfers will be based on the standard contractual clauses of the EU, passed by the EU Commission, which we have entered into with the relevant data processors.

Your rights

According to chapter III of the Data Protection Regulation you have several rights as concerns our processing of personal information about you. Inquiry about these may be made to eflow by using our contact information in the below paragraph of “Contact information”.

Your rights are as follows:

  • The right to see information (the right of insight): You have a right to get insight into the information, which we process about you, as well as some further information.

  • The right of rectification (correction): You have the right to have all incorrect information about yourself corrected.

  • The right of deleting: In special cases you have the right to have information about yourself deleted before the time of our ordinary, general deletion.
  • The right of limited processing: In certain cases you have the right to a limited processing of your personal information. If you have the right to limited processing, we shall not be allowed in future to process the information – except for storage – unless we have your consent, or in order to establish, assert, or defend legal claims, or to protect either a person or important social interests.

  • The right to object: In certain cases you have the right to object to our otherwise legal processing of your personal information. You may also object to the processing of your information for direct marketing.

  • The right of transmitting information (data portability): In certain cases you have the right to receive your personal information in a structured, commonly used, and machine-readable format, as well as to have this personal information transmitted from one data responsible to another without any obstruction.

  • The right to withdraw consent: You have the right at any time to withdraw your consent. If you do so we will no longer have the right to process the personal information which was based on your consent (unless we are obligated to do so).
